Most sales teams manually tick off a follow-up the moment a reply lands. This CRM matches the reply to the exact email it answers and closes the loop on its own.
A rep sends a rate quote to an agency, sets a reminder to follow up in three days if nothing comes back, and then has to remember to cancel that reminder the moment a reply actually lands. Most CRMs leave that last part entirely on the person: the reply shows up in an inbox somewhere, and the open task sits there anyway until someone notices and manually closes it. Multiply that across a real B2B pipeline with dozens of live conversations, and the follow-up list stops meaning "nobody has responded" and starts meaning "nobody has cleaned this up yet," which is a much less useful list to be working from.
A tracked 1:1 email to an agency or corporate contact goes through a few checks before it ever leaves. The sending identity has to be a verified sender, the same standard the platform holds any outbound email to, so a message can't go out from an address that hasn't actually proven it owns that domain. And unlike a marketing campaign, this kind of email is legitimate one-to-one business correspondence rather than a broadcast, but a contact who's explicitly unsubscribed is still hard-blocked from receiving it. Cc and bcc are capped at five recipients each, which keeps a tracked deal email a real correspondence rather than something quietly turning into a broadcast in disguise.
A tracked email can pull in the contact's name, the account's name, the deal's name and value, and the sender's own name, directly into the message body. That convenience comes with a deliberate guardrail: if a rep's template references a merge tag the system doesn't recognize, a typo, something copied from an old template, the send is blocked outright rather than going out with a broken placeholder sitting in the middle of the message. A signature gets auto-appended per sender, editable on that specific send if it needs to be, and a scheduled send can be canceled cleanly any time before it actually goes out.
Opens and clicks on a tracked 1:1 email are measured with the same pixel-and-wrapped-link mechanism the platform already uses for marketing campaigns, first opened, last opened, total counts, click totals. But a 1:1 deal email is a fundamentally different kind of send than a broadcast, so its tracking data is kept in its own separate ledger rather than mixed into campaign analytics. An agency contact opening a personal rate quote three times shows up against that specific email and that specific deal, not blended into a campaign's aggregate open rate where it would mean something different and count toward the wrong number entirely.
Every send, once it actually goes out, logs itself automatically as a completed activity on the deal, so the deal's own timeline shows exactly what was sent and when without a rep separately noting it down.
Here's the part that actually closes the loop. Every tracked send carries its own message identifier in the email headers. When a reply comes back into a connected inbox, the system checks that reply's own headers, the ones any email client uses to say "this message is a reply to that one", against the identifier of every tracked send. A match isn't a guess based on subject line or sender address; it's the same mechanism email itself already uses to thread a conversation.
Once a reply is matched to the email it answers, two things happen without anyone touching a keyboard: the original send is marked as replied, and if that send had created a pending follow-up task, that task closes itself. The rep never has to check whether the reply already landed before deciding whether to still chase it. If it landed, the task is already gone.
A tracked email doesn't just report a reply. Attachments, contract drafts, rate sheets, up to ten files and ten megabytes total, travel with the send and stay linked to it, so a rep pulling up an old thread finds the actual document that was sent rather than a description of one. And when a message can't be delivered at all, a bounce, a spam complaint, the platform's own delivery-status handling updates that specific tracked email's status directly, matched by the send's own provider identifier. A rep chasing a quote that's gone quiet for a week can tell the difference between "they're thinking about it" and "this address rejected the message outright" without ever leaving the deal.
This only works because the reply-matching logic is hooked into the same pipeline that processes inbound mail for the connected email inbox. A hotel group that hasn't connected an inbox at all can still send tracked 1:1 emails, opens and clicks still register, follow-up tasks still get created on schedule, but the auto-close on reply simply never fires, because there's no inbound stream for a reply to arrive on in the first place. The matching itself is also built to never block real mail from being processed: if it fails for any reason, the failure is caught quietly rather than being allowed to interrupt the inbox's own ingestion of every other message.
A tracked email can be set to schedule a follow-up task automatically a set number of days out, so a rep doesn't have to remember to create one manually every time they send a quote. That scheduled task exists purely as a safety net: if the reply-matching above closes it first, it never has to be manually cleared. If it doesn't, the rep still has a task sitting on their list at the right moment, not because they remembered to set a reminder, but because the send itself created one.
None of this replaces judgment. A rep still decides what to actually say to an agency, and still reads a reply before deciding what happens next. What it removes is the bookkeeping around all of that: knowing whether a reply already arrived, whether a follow-up is still genuinely needed, and whether an open task actually reflects reality or is just something nobody's gotten around to closing. A B2B CRM that tracks a send but not its answer is only doing half the job.
Thirty minutes, your real properties, no generic demo environment.
Every agency and tour operator deal at your hotel group already lives in a CRM contact record, with server-enforced commission gates instead of a spreadsheet column.
A proposal editor whose preview and published page can disagree is worse than no editor at all. This one shares the same design code between what a rep sees and what a client signs.
When a subsidiary agency moves to a new parent company, most systems quietly reprice it to match. This CRM freezes its negotiated terms the moment it moves.
