Most hotel teams picture a WhatsApp bot as a stiff decision tree. Here is what actually answers a guest at 11pm, and where a real person still steps in.
It's 11:40pm. A guest checking in tomorrow wants to know if early check-in is possible, and whether the room she booked has a bathtub. Nobody at the front desk is going to answer that tonight. On WhatsApp, someone does, in about four seconds, correctly.
That's the actual job of a WhatsApp business bot for a hotel. Not a phone-tree with buttons. Not "type 1 for reservations, type 2 for spa." A real conversation, answered from real information, on the one channel most travelers already have open.
Ask a hotel marketing manager to picture a WhatsApp chatbot for hotels and you'll usually get the same mental image: a rigid decision tree, guests stuck typing "AGENT" over and over trying to escape it. That reputation was earned honestly: a lot of early hospitality bots were exactly that.
A modern WhatsApp business bot is a different thing entirely, part of the same shift covered in what hotel chatbots actually do now. The "bot" part is an AI reading the hotel's actual knowledge base and, when it needs to, checking real-time room availability against the hotel's own booking engine, not matching keywords against a script. The guest just writes normally, the way she'd text a friend, and gets an answer built from what's actually true about that property, that night.
The part that used to make hotels avoid this entirely was the setup: WhatsApp's Business API traditionally means API credentials, a developer console, someone who understands OAuth tokens. GuestMaker skips that. Connecting a number is a single "Connect with Meta" button. It opens Meta's own signup popup, the hotel picks its WhatsApp Business Account and phone number, and GuestMaker pulls the WABA details, the phone number, and a long-lived access token automatically. No manual credentials, nothing to paste into an admin panel.
The one piece of friction that's real, and worth naming honestly: a freshly connected number that hasn't finished Meta's business verification can only message a short list of pre-approved test numbers. That's a WhatsApp platform rule, not something specific to any one messaging tool, and it clears itself once verification completes: a one-time step, not an ongoing limitation. Message templates go through a review of their own each time one is submitted, and the audit that flags a likely rejection early is what keeps that from becoming a slow back-and-forth with Meta.
This is where a WhatsApp chatbot for hotels either earns its keep or embarrasses everyone. Guests don't ask generic questions: they ask "does the pool at the Sunset wing close at sunset or actually stay open," or "can I get a room with a crib for a 14-month-old." Answering that well means the AI needs to be reading the hotel's own knowledge base, not a generic hospitality script, and it needs to know whether a room for those dates actually exists.
On the availability side, GuestMaker connects directly to the hotel's real booking engine: Roiback, Mirai, Hotetec, WitBooking, Paraty Tech, Neobookings are all supported, and the engine is usually detected automatically from the hotel's own website. Most of that works without the hotel ever handing over API credentials. So when a guest asks about a date, the AI isn't guessing. It's checking the same inventory the booking widget on the hotel's site checks. The same grounding carries over when a booking conversation starts on Instagram instead of WhatsApp.
And because it's still a conversation, the small things that make texting feel human are there too: a typing indicator while the AI is composing its reply, read receipts on the guest's message, the ordinary rhythm of a real exchange rather than an instant canned reply landing the second she hits send.
This is the fair objection, and it's worth answering directly rather than promising vaguely that "the AI is very natural." Two things do the actual work here. First, the AI is reading from the hotel's real knowledge base rather than a fixed script, so its answers vary the way a real person's would; it isn't reciting the same three sentences to everyone who asks about the pool. Second, a human being is never locked out. Every WhatsApp conversation sits in the same live team inbox as the hotel's email and web chat, so if a question needs a judgment call (a complaint, a special request, something that isn't really about information at all), a staff member reads the same thread and replies from the same number. The guest never has to start over or repeat herself to a different channel: that's the gap that shows up when a chatbot doesn't know its own guest.
The part that actually changes a hotel's operations is the piece that has nothing to do with answering questions: sending the right WhatsApp message at the right moment, without anyone remembering to do it. Approved WhatsApp templates (a booking confirmation, a pre-arrival message with parking details, a post-stay note asking how the trip went) go out either as a one-off broadcast to a list, or as a step in a visual journey: three days before check-in, send an early-check-in offer; the morning after checkout, ask for a review.
That journey builder is the real engine behind what most people picture, vaguely, as "a WhatsApp bot." It's not the AI improvising outreach. It's the hotel deciding exactly what should happen and when, once, and then it happens for every guest without anyone re-doing the work.
A hotel group rarely wants one number handling everything. GuestMaker supports multiple WhatsApp Business Accounts per tenant: one per property is common, alongside a shared group-level number that handles pre-booking questions from someone who hasn't chosen a hotel yet. Staff can filter the inbox by number, so a person managing three properties isn't scrolling through a merged feed trying to remember which conversation belongs where. A WhatsApp Analytics tab keeps score across all of it: how many contacts are reachable on WhatsApp, how many were actually messaged this week, and how fast staff replied once the AI handed a conversation off.
And every one of those conversations, AI-handled or not, lands in the same real-time team inbox as email and web chat. A staff member can step into any AI conversation at any point, mid-thread, without the guest having to repeat anything. The AI isn't a replacement for the front desk; it's the thing that's awake at 11:40pm so the front desk doesn't have to be.
Strip away the plumbing and it looks like this: a guest messages the hotel's WhatsApp number asking about early check-in. She sees "typing…" almost immediately, the way she would with a friend, and a specific answer arrives, not "please contact the front desk," but the actual early check-in policy for that property, and whether tonight's occupancy makes it likely. If she asks to see room options for two extra nights, the AI checks live availability on the hotel's own booking engine and tells her what's really open, not a generic "check our website." Three days before her check-in date, she gets a WhatsApp message with parking instructions and a note about the pool hours, sent automatically, because the hotel built that step into a journey once, the same automation covered in how a booking confirmation sends itself. If, at any point, she writes something a member of staff should really see, that person sees it, in the same thread, and picks up the conversation without missing a beat.
None of this is about novelty. It's about the ordinary, unglamorous reality of running a hotel: guests ask questions at hours nobody's staffed for, the same pre-arrival information gets typed out by hand a hundred times a week, and a booking confirmation is worth nothing if it doesn't also carry the parking instructions the guest will actually need. A WhatsApp business bot, built this way, is less a chatbot and more a second set of hands that happens to run all night.
Thirty minutes, your real properties, no generic demo environment.
A guest gets a booking confirmation on WhatsApp at midnight, a check-in reminder two days out, and a review request the morning they leave, and nobody on the hotel team sent any of them by hand. Here's what actually runs behind that.
How GuestMaker checks and scores WhatsApp template drafts before submission, follows Meta's review status, and helps hotel teams prepare templates for review.
Most hotel chatbots forget every guest the moment the chat closes, and a different bot answers WhatsApp, web and phone. Here is the fix: one shared record.
